Booking Terms & Conditions

Thank you for considering booking with us!

By continuing with the booking, guests confirm they have read and understood all the undernoted Terms and Conditions and agree to follow the guest guidance when on the property.
These T&C apply to guests booking direct with us (Spa Venues ltd) Guests booking via a 3rd party agency such as ABnB, Cottages.com, Booking.com etc may have different prices, different or extra terms and conditions applying and your contract may be with these agencies

Confirmation of booking and payments

A booking with us is confirmed only following payment of booking deposit, via card on our online booking portal (please contact us if bank transfer is required instead), and confirmation of receipt by Spa Venues. By paying the deposit guests agree to these conditions. Please ensure you read in full before booking.

If not using instant booking, provisional bookings arranged over phone or by email are held for 5 days maximum. Guests must arrange deposit by card or bank transfer and email bookings@spavenues.co.uk to confirm it has been sent with booking number noted in reference.

Failure to pay accommodation balance on due may result in cancellation.

When paying online, your card details will be stored securely by the payment provider, Yapstone, and balance payment will be made using same card and required security bond preauthorised 4 days prior to arrival.

Property Guest Numbers and Travel Restrictions 

By booking, an agreement  made is between the owner and named individual making the booking for the short term holiday rental of an agreed property for their individual use and for any guests they invite up to the maximum capacity indicated. The booking individual is responsible for ensuring that any Govt or licensing rules on travel restrictions, maximum numbers or household restrictions in place at the time of arrival is not exceeded and failure to do so will be a breach of the rental agreement, which may lead to its immediate termination and retention of your damages/good behaviour deposit to cover damages to our business. 

The rental fee and booking contract for the property is fixed and not dependent on any particular persons, number of guests attending, change or cancellation of any third party arrangements or, excepting government mandated closure, restrictions on group size or composition enforceable by government or other authorities. 

Cancellations
For direct bookings with us, you can cancel and receive a refund of fees paid at any time up to 16 weeks before arrival date. Written notice by email is required and there is a £50 admin charge. Any payments made by Paypal will have the amount we receive refunded (not what you paid).  Bookings with less than 16 weeks notice will only be refunded if the venue is rented out to another group and as well as admin fee, any price difference in rental rate is deducted. It is likely that the venue will be able to be rented out if you give sufficient notice. The owner has no contractual obligation to provide the property to you and may be prevented from doing so, eg flood, death or other force majeure. If the owner cancels the booking your payments will be refunded in full. No additional payment will be due to you. A change in date less than 16 weeks before arrival is classed as a cancellation and rebooking and subject to above booking terms. The facilities at venues can change from to time but will always feature in the website at time of booking, or rebooking. 

COVID

We strongly recommend you take out holiday insurance and in current circumstances, epidemic cover is recommended. Venues are thoroughly cleaned and ventilated between guest rentals.
In case of government mandated closure or legally enforced restrictions in numbers / households allowed to meet, which applies to self catering accommodation in Scotland*, guests will have the option of a refund or rebooking.No admin charge will be applied.
*at time of stay.

Good faith /behaviour deposit

Your booking will also take a security charge (preauthorisation if paying by card) of £400 for damages to property or the business. Charges may be payable if during your rental:

 

  • Any significant damages to the property or to neighbours property, or its fixtures and fittings, or loss thereoff, including AV eqpt, garden furniture, carpets, spa eqpt etc
  • Any excess cleaning charges incurred by us above and beyond what would normally be expected relating to eg broken glass, vomit, unauthorised pets etc
  • Any required sorting or removal of waste and recycling costs incurred by us if provided instructions are not followed
  • Complaints related to noise affecting the local community and peaceful environment of the area.
  • Using the hot tub outwith permitted hours.
  • Costs of toilet blockage / drain clearance caused by actions of you or your guests.
  • Any loss / compensation that may occur due to inconvenience to subsequent guests because of any of the above occurring

 

In case of noise complaints are received by neighbours, police or council, you may be required to depart. In this case, no refund of accommodation will be given. In the unlikely even we charge you for this, we will notify you in advance and the proceeds will be donated in full to a Scottish charity of your choice and receipt emailed to you.

Damages to furnishings and fittings are chargeable. We expect the occasional broken glass etc and don’t charge for this. And please don’t worry – although the above list may seem scary, charges on deposits are rare and most of our guests are very respectful!

Party inside, Chill outside

We are an ideal celebration venue as the walls in this lovely Victorian building are thick and windows double glazed, your celebration events indoors at the Wee Nunnery are very welcome, provided all windows and doors are kept closed at all times during such events and music is kept to reasonable house party levels. 

However due to Govt licensing of self catering properties and out of consideration for our local community, as part of our booking terms, the outside areas of the Wee Nunnery must be treated as peaceful ‘chill’ zones at all times, including during the day, and quiet is required after 9pm, therefore not suitable for loud and rowdy groups. Explicitly, no singing, no outside music, shouting, events, pa systems or entertainers are permitted in any outdoor area except by written prior permission. 

Use of facilities and catering/spa services

Use of thermal facilities is entirely at your own risk and no claim may be made for accidents etc caused by improper use. Use of any of the outdoor facilities is only permitted until 9pm each night. Although regular maintenance takes place, breakdowns can occur occasionally of spa facilities and use of all other facilities is not guaranteed and facilities can be changed at any time. Every reasonable effort will be made to carry out repairs but it is unlikely they will be able to be done on the same day of your stay as it is subject to engineer availability. Although we will always do our best to provide any extra services requested, third party catering and spa treatments arranged via us or our website are not guaranteed and other than provision of the accommodation, any other extra services do not form part of our contract as suppliers may become unavailable due to illness etc.

Age restrictions

Although we always welcome guests who are celebrating special occasions, no groups are permitted when majority or all of guests are under 25, except by prior notification and mutual agreement, and in these circumstances an extended security deposit may be required. Please contact us before booking for a chat if you think this may apply to you, as we may be able to reach an agreement.

Security

External CCTV cameras are in use at the Wee Nunnery for purposes of crime prevention, guest and staff safety and for monitoring of noise that may lead to breach of licensing conditions or cause a public nuisance. These are in outside areas only do not overlook any hot tub or sauna areas. All recordings are only accessible by employees of Spa Venues limited and are deleted within 7 days unless required for evidence of one of purposes above
